The short version
TexoIQ is the system that runs your studio. To do that, it holds two kinds of information. The first is about you and your studio, your account. The second is the records you keep about your own clients, their measurements, their orders, their details. We treat both with care, we do not sell them, and we only use them to make the product work for you. This policy explains what we hold, why, who helps us run the service, and the rights you have over it. We have kept it plain on purpose.
Who we are
TexoIQ is operated by Urenna Chekwas Fashion Limited, trading as TexoIQ, of Flat 78 Lee Heights, Bambridge Court, ME14 2LD, United Kingdom. In this policy that company is referred to as TexoIQ, we, or us.
For any question about your data, or to exercise a right set out below, contact us at hello@texoiq.com.
The two roles, and why it matters
TexoIQ holds personal data in two distinct roles, and the difference shapes your rights and ours.
Your account and studio information. Here we are the controller. We decide how your account data is handled, within this policy, because it is the data that lets us give you the service and bill you for it.
Your clients' records. When you enter a client, their measurements, an order, or an invoice, you are the controller of that information and we are your processor. It is your studio's data about your studio's customers. We hold and process it on your instructions, to provide the service, and we do not use it for our own purposes. This means your studio carries the responsibility for having a lawful basis to hold your clients' data, and for answering your clients if they ask about it. We help you meet that responsibility by keeping the data secure and giving you the tools to access, correct, export, and delete it.
What we collect
Account and studio data. Your email address, the name you give, and the studio details you set during onboarding and in settings. This includes your business name, your country, your operating currency, and the working context you choose to share, such as your business type, your years in the trade, and the kinds of work you specialise in. We use this to set up your studio, to tailor the assistant to how you work, and to run your account.
Client records you enter. The information you choose to keep about your own clients, which may include their name, contact details, measurements, fitting notes, style preferences, and their order and invoice history. You decide what to record. We hold it so your studio can use it. When you send a client an invoice or a message on WhatsApp, their phone number and the content of that message pass through Twilio, our messaging provider, so it can be delivered.
Payment information. When you subscribe or buy credits, payment is handled by Stripe, our payments provider. We do not see or store your full card number. We hold a record of what you bought, the amount, and the status, so we can manage your subscription and credits.
Usage and technical data. Basic information your device sends when you use the app, and error and diagnostic data when something goes wrong, so we can keep the service stable and fix faults. We use an error monitoring service for this and we work to keep personal data out of those reports.
How we use your information
To provide and run the service, your studio, your records, your invoices, your pricing, and the assistant. To tailor the assistant to your studio, using your studio context so it speaks to your work rather than in generic terms. To handle billing, subscriptions, and credits. To keep the service secure, stable, and working, including diagnosing faults. To contact you about your account, such as a welcome message, a password reset, or an important service notice. We do not sell your data, and we do not use it for advertising.
The lawful basis we rely on
For your account data, we rely on the performance of our contract with you, to give you the service you signed up for, and on our legitimate interests in keeping the product secure, stable, and improving. For billing, we rely on contract and on our legal obligation to keep accounting records. Where we ever rely on your consent for something specific, we will ask for it clearly and you can withdraw it at any time. For your clients' records, your studio sets the lawful basis as their controller, and we process them on your behalf.
The assistant and the AI features
TexoIQ includes an assistant that can answer questions, suggest pricing, and help you complete tasks, and a voice option for speaking to it. We want to be clear about how this works.
When you use the assistant, the relevant content from your request, and the studio context needed to answer it well, is sent to our AI provider to generate a response, and the response is returned to you. When you use voice, the audio of what you say is sent to be turned into text, and the assistant's reply may be turned back into speech. This content is processed to give you an answer. It is not used by us to build a profile of you, and our AI provider does not use content sent through their API to train their models. The assistant only acts on your data inside your own studio, and any action that changes a record is shown to you and taken only when you approve it.
The assistant keeps short notes of useful facts from finished tasks, such as a client's preferences, so it does not have to ask again. These notes stay inside your studio and are deleted with your account.
When you scan a client's measurement page, or ask TexoIQ to read a garment photo, the image is sent to OpenAI, our AI provider, to be read. A scanned measurement page is not kept once it has been read; only the figures you confirm are saved. A garment photo that TexoIQ reads is kept in your studio. Before the first scan or photo for a client, TexoIQ asks you to confirm that the client has agreed, and you can withdraw that from their client profile.
On some phones, the dictation button in the chat uses the phone's own speech service, provided by Apple or Google, to turn your words into text.
Who we share it with
We do not sell your data. We share it only with the service providers that help us run TexoIQ, each bound by contract to handle it securely and only on our instructions. These are:
- Supabase, which hosts our database, authentication, and the application's backend, and stores your studio data.
- Vercel, which serves the application.
- Stripe, which handles subscriptions and credit purchases.
- Twilio, which delivers invoices and messages to your clients on WhatsApp when you choose to send them.
- RevenueCat, which manages purchases made inside the Android and iPhone apps.
- OpenAI, which powers the assistant, the voice features, measurement scanning and garment photo reading.
- Sentry, which provides error monitoring so we can find and fix faults.
- Resend, which sends account emails such as the welcome and password reset messages.
We will keep this list current as the service changes. We may also disclose information if the law requires it, or to protect the rights and safety of our users and our service.
Where your data is held
Your studio data is held in a database hosted in the United Kingdom. Because TexoIQ serves studios in the United Kingdom, the United States, West Africa, and India, and because some of our service providers operate internationally, your data may be processed in other countries. Where your data is transferred outside the United Kingdom, we rely on the safeguards UK data protection law requires, such as the International Data Transfer Agreement or the UK Addendum to the European Commission's standard contractual clauses, so your data keeps an equivalent level of protection wherever it is handled.
How long we keep it
We keep your account and studio data for as long as your account is active. We keep your client records for as long as you keep them in your studio, since they are yours to manage. If you close your account, we delete or pseudonymise your data within a reasonable period, except where we must keep certain records to meet a legal or accounting obligation, such as a pseudonymised record of your invoices and payments, with your personal details and your clients' details removed, for only as long as tax and accounting law requires us to hold it. You can delete individual client records, orders, and invoices yourself at any time.
Your rights
Under UK and EU data protection law, you have the right to ask us for a copy of the personal data we hold about you, to correct it if it is wrong, to delete it, to limit or object to how we use it, and to receive it in a portable form. Where we rely on your consent for anything, you can withdraw that consent at any time. To exercise any of these, contact us at hello@texoiq.com. We will respond within the time the law allows, which is normally one month.
You also have the right to complain to your data protection regulator. In the United Kingdom that is the Information Commissioner's Office, at ico.org.uk.
Your clients' rights, and your part in them
Because your clients' records are yours and you are their controller, your clients direct their requests to you, not to us. If one of your clients asks to see, correct, or delete their information, you can do that inside TexoIQ, and we will support you. If you need our help to meet one of those requests, contact us at hello@texoiq.com.
How we protect your data
Access to your studio data is restricted by row level security so that one studio cannot see another's. Data is protected in transit and at rest by our infrastructure providers. Access to the AI features is authenticated and metered. We monitor for faults and review our security regularly. No service can promise perfect security, but we take this seriously and design the product to keep your data isolated and protected.
Children
TexoIQ is a business tool for tailors, designers, and studios. It is not intended for children, and it is not directed at anyone under 18. We do not knowingly collect data from children.
Changes to this policy
If we change this policy, we will update the date at the top, and for a significant change we will let you know in the app or by email. Please check back from time to time.
